Bookings for consultations and services can be made through Simple Clinic. You are required to provide accurate information during the booking process.

  • Payments: All bookings must be paid for in advance via Simple Clinic or Xero payment processing platforms. Payment details, including your payment method, will be processed securely by these platforms.

  • Cancellation Policy: If you need to cancel or reschedule an appointment, we request that you notify us at least 48 hours in advance. Cancellations made with less than 48 hours' notice may incur a cancellation fee of 50% of the consultation fee.

  • Refund Policy: We do not offer refunds for consultations once they have been completed. However, if you are unable to attend due to extenuating circumstances, we will do our best to reschedule the appointment.

Cancellation Policy for Heart Mind Soul Naturopathy

Thank you for choosing Heart Mind Soul Naturopathy. We value your time and commitment to your wellness journey, and we aim to provide exceptional care during your consultations. To ensure we can accommodate all clients efficiently, we have implemented the following cancellation policy.

1. Appointment Booking and Payment

All consultations must be booked and paid for in advance. We use SimpleClinic for booking and payment processing, which ensures that your appointment is confirmed once payment is received.

2. Cancellation Notice Requirements

We understand that unexpected events can occur, and sometimes you may need to reschedule or cancel your appointment. However, in order to respect both your time and the time of other clients, we request the following:

  • Cancellations with 48 hours' notice or more: If you cancel your appointment 48 hours or more before the scheduled time, you will receive a full refund, minus any processing fees charged by the payment platform.

  • Cancellations within 48 hours: If you cancel your appointment within 48 hours of the scheduled time, we will charge a cancellation fee equal to 50% of the appointment fee. This helps us cover the time reserved for you and ensures fairness to other clients who may wish to book during that time.

  • No-Shows: If you fail to attend your appointment without notifying us (i.e., a "no-show"), the full appointment fee will be forfeited. Unfortunately, we cannot offer refunds or rescheduling for missed appointments without prior notice.

3. Rescheduling

If you need to reschedule your appointment, we are happy to accommodate you as long as it is done with at least 48 hours' notice. Please contact us via our online booking platform to request a new appointment time. If rescheduling is done within 48 hours of the original appointment time, a 50% cancellation fee will apply.

4. Exceptional Circumstances

We understand that life can be unpredictable. In cases of illness, emergencies, or extenuating circumstances, we will review cancellation requests on a case-by-case basis. We will do our best to accommodate you and may offer flexibility, depending on the situation. However, these exceptions will be at our discretion.

5. Refunds

Refunds are only offered in cases where:

  • You cancel more than 48 hours before the appointment, and you are eligible for a full refund (minus any payment processing fees).

  • You have an extraordinary circumstance that warrants a review of your cancellation.

Refunds are processed through the SimpleClinic payment platform and may take a few business days to reflect in your account.

6. Why Pre-Payment is Required

We require payment upfront when booking your appointment to ensure your commitment to the scheduled time. This helps us maintain a fair and efficient system for all our clients. As a small business, missed or cancelled appointments at short notice can significantly impact our ability to serve other clients. We greatly appreciate your understanding of this policy.
